01

Introduction

Two inspectors can report different placement results on the same printed panel when they use different edges, support or image boundaries. Purchasing then receives a tolerance dispute that cannot be solved by asking for a more accurate printer. The first task is defining the measurement. This guide helps OEM buyers agree a datum, a graphic feature and a repeatable inspection method for flat plastic parts before production data becomes a release decision.

02

Direct answer for buyers

Define the print characteristic relative to an agreed physical datum on the finished component. Specify support, orientation, the graphic edge being located and the measurement method. Check repeated readings and different operators where relevant, and consider uncertainty when judging results near a limit. A nominal centreline on a rendering is not an inspectable placement requirement until those choices are resolved.

03

Define what location actually matters

Ask whether the graphic must align with a display opening, a button, an assembled bezel or the outer cosmetic outline. Those references can disagree when the moulded part varies. The product engineer should identify the functional requirement and its datum. Do not let the printer choose a convenient edge while the customer measures from a different one.

Define the artwork feature too. A soft gradient, textured boundary or anti-aliased edge can be difficult to locate consistently. If the drawing specifies a logo centre, explain how that centre is determined in the inspection method. A narrow line or dedicated reference feature may be more measurable than a broad decorative image, but adding one requires design approval. Separate translation, rotation and scale where they have different acceptance rules. One distance alone may not reveal a rotated graphic.

04

Control support, orientation and the measuring tool

Moulded plastic can flex or sit differently under a measuring instrument than in the production nest. Record how the part is supported and whether it is inspected loose or assembled. A clamping force that changes its shape can change the apparent location. Use a method appropriate to the component and the required decision rather than assuming that more instrument digits mean more useful accuracy.

For an optical method, define the field, lighting, magnification and edge-selection rule. For a physical gauge, identify its locating surfaces and condition. A photograph can support an observation, but perspective and lens distortion may prevent reliable dimensional use unless the imaging method has been controlled. The buyer and supplier should compare the method on the same representative pieces before arguing about a batch near the limit.

05

Check whether the measurement can support the tolerance

Repeat a measurement without deliberately selecting only easy pieces. Where operators or fixtures may differ, include those relevant sources of variation in a planned comparison. Preserve the raw observations and the method used. A consistent instrument reading does not automatically account for every uncertainty source, particularly if the datum or edge definition is ambiguous.

The quality parties should decide how to handle results near an acceptance boundary. That decision may require a more suitable method, clarification of the feature or a justified decision rule. Do not simply round a marginal result into compliance. Equally, do not reject a lot using an unagreed method whose variation is comparable to the tolerance. Resolve the inspection capability before bulk release, with the responsible metrology or engineering owner where the requirement is critical.

06

Use data to investigate the pattern, not only the average

Record cavity, part lot, artwork revision and measurement location when those factors matter. A grand average can hide one cavity that consistently prints differently or a component that rotates in its nest. Review the pattern across representative parts and positions. A correction to the file origin may move every piece but cannot fix a cavity-specific support problem.

Keep the same method in first-article, in-process and shipment inspection unless a change is deliberately validated. If the buyer measures the assembled product, confirm that the factory's component measurement predicts the relevant assembled appearance. Preserve a few shared reference pieces for resolving future disagreement. The objective is an inspectable placement standard that relates to customer use, not a collection of impressive but incomparable measurements.

07

Keep the finished blank under control

A resin abbreviation is useful but incomplete. Record the component number, mould or sheet source, colour, texture, coating, protective-film status and the lot presented for testing. The visible face is the actual print interface. A sample made on a smooth uncoated plaque may not represent the textured or coated housing that purchasing will receive. Ask for production-equivalent blanks and identify which differences from final production are still open.

Review several blanks in the proposed fixture. Local flatness, ribs, gates, clips and warpage can change how a component sits, even when its nominal outline is unchanged. Mark the locating reference and the face that will be visible after assembly. A fixture can make placement repeatable only within the variation that its design accommodates; it does not turn a variable moulded part into a perfectly rigid plate.

Keep an unprinted reference from the evaluated lot when a later compatibility comparison may be needed. Store it so its surface is not contaminated by handling or unsuitable packaging. If the material source, coating, texture or preparation changes, identify which part of the approval is affected before assuming that the previous result carries forward. The resulting record should let an overseas buyer connect a sample decision to the finished component supplied in a later shipment.

This is a request for traceable inputs, not for proprietary chemical recipes. A supplier can protect its process knowledge while identifying the controlled preparation route and notifying the buyer when that route changes. The important commercial point is that the shipped surface remains within the condition that was actually approved.

09

Illustrative sourcing scenario

An illustrative panel has a logo beside a display aperture. The factory measures from the outer edge, while the buyer measures from the aperture. Tooling variation makes the two results appear inconsistent. The teams agree that the display relationship is the relevant product requirement and define a common support and edge-location method.

They compare repeated readings on the same panels and identify whether translation or rotation explains the visible concern. The resulting first-off record cites the datum and method used. No particular accuracy or result is claimed here. The example shows why a measurement-definition discussion can resolve a purchasing disagreement before a supplier changes printer settings that were not the original cause.

Buyer release worksheet

Use these questions in the RFQ, pilot review or shipment-release discussion. Ask the supplier to respond with the evidence available for the actual component and to identify any unresolved item. The hold conditions are prompts for an authorised decision, not automatic test thresholds. Your product and quality owners should set the applicable acceptance rule before the trial or order is released.

Release questionEvidence to requestHold or escalation condition
What physical relationship is measured?Request the functional datum, graphic feature and placement components that matter to the product. Show how the feature is identified when its boundary is soft, textured or visually ambiguous.Hold a tolerance decision when buyer and factory measure from different references or define the graphic edge differently.
Can the method support the decision?Record support, orientation, tool or optical setup and relevant repeated readings. Have the quality owner consider the method's variation and uncertainty when deciding how results near a limit are treated.Escalate incomparable readings rather than rounding a marginal result into compliance.
Does the data preserve its pattern?Ask for cavity, blank and setup identity where relevant. Review translation and rotation instead of only a grand average, and maintain shared reference pieces for later method comparisons.Do not apply a global artwork correction to a cavity-specific locating issue without confirming the cause.

Assign an owner and a next action to each open row. Keep the response with the relevant part and artwork release so the same question does not return as an undocumented assumption on the next order. A supplier can report that more evidence is needed without claiming a failure or a pass. Close the row only when the accountable buyer has enough information for the intended decision, and preserve the scope of that decision when quantities, materials or handling conditions later change.

11

Design factory testing around a decision

Write down the question that the trial must answer before using saleable blanks. A sample may be intended to compare placement, appearance, adhesion, packing contact or an assembly interface. These are different observations. Choose representative conditions, define an acceptance rule and name the person authorised to decide the result. A collection of attractive photographs does not establish a test outcome.

Separate a screening comparison from a formal method. A screening trial can help eliminate an unsuitable option; a buyer-specified standard method requires the appropriate preparation, equipment, procedure and reporting. Record any deviation from the requested method rather than describing an adapted trial as full compliance. A pass statement is meaningful only when it identifies what was evaluated and against which rule.

Include the final ink stack and relevant downstream operations. A colour-only coupon does not qualify a component that will carry white ink, varnish, adhesive contact or protective film. Where a test damages the specimen, keep it identified and separate from saleable inventory. Where an observation is temporary, state when it was made and whether a later review is required by the agreed plan.

The factory-testing report can remain concise: sample identity, preparation reference, artwork revision, test condition, observed result, photos that support the observation and an approval or next action. Avoid converting a limited comparison into a universal service-life claim. Buyers gain more useful confidence from a bounded, repeatable result than from an unexplained promise of durability across every plastic and environment.

12

Maintain one approval trail through the order

Connect the part revision, artwork revision, surface condition, fixture reference and physical approval sample in one release record. The document should say what is approved, by whom and for which order or product configuration. If a newer file replaces an older one, make the change visible to prepress, production, quality and packing. A filename such as final-final does not establish an approval state.

Keep trial, accepted, rejected and retained pieces distinguishable. For a mixed batch, record quantities by the combinations that actually ship, rather than only a grand total. A correct quantity of printed parts can still contain the wrong language, model or revision. Carton and tray identity should make a later investigation possible without depending on an operator's memory.

At shipment inspection, compare representative finished and packed units with the same released standard used during setup. Record any sorting, rework or concession, including the affected scope and authorised disposition. If pieces were replaced after inspection, decide what additional check is required before those replacements join the released shipment. The report should describe the delivered state, not a state that existed before the final intervention.

Preserve the information needed for the next order: approved reference, material declaration, released artwork, inspection criteria and packing arrangement. Storage duration and access permissions can follow the buyer's requirements. This approval trail supports repeat purchasing, but it should not be described as a certification, an audit result or proof of product compliance unless that separate evidence actually exists.

13

Make the buyer-to-factory handoff usable

Supply one controlled package containing a part drawing or clear photographs, material and finished-surface information, printable boundaries, released artwork, quantity by variant, intended product use and destination. Mark open questions explicitly. The factory can make a better feasibility response when it knows which features are fixed engineering constraints and which cosmetic choices can still change.

Assign an owner for technical text, translations, symbols and data. PaintNex should receive the buyer's approved content rather than infer the meaning of an icon or invent a performance statement. Keep a visual proof separate from the physical sample approval: the proof controls information and design intent, while the real component reveals surface, alignment and handling behaviour.

During the pilot, ask the supplier to report exceptions in a form that purchasing and engineering can both use. An exception should identify the location, observed condition, proposed action and decision required. Replace vague comments such as improve quality with a specific question about a boundary, reference or test. This reduces the chance that two teams solve different interpretations of the same brief.

Before production, close the active questions and identify the approved configuration. The purchase order should cite the right part and artwork versions, inspection basis and packing state. When a requirement changes later, send the change through the same release path. A clear handoff does not eliminate every manufacturing variation, but it makes the next decision traceable and prevents an informal message from silently becoming a new production standard.

FAQ

Can I specify a placement tolerance without a datum?

A number alone is incomplete. Identify the physical reference, graphic feature, support and measurement method so the supplier knows what relationship is being accepted.

Does a digital caliper suit every printed graphic?

No. The feature and tolerance determine the suitable method. Soft visual edges or rotational relationships may require another approach selected by the responsible quality team.

Is measurement repeatability the same as uncertainty?

They are related but not identical. Repeated readings reveal part of the behaviour; the full measurement decision may involve other influences and needs an appropriate method review.

Can inspection from a phone photograph settle a tolerance dispute?

Usually it is supporting evidence rather than a dimensional method. Perspective, scale and edge selection need control before an image can support a reliable measurement.

16

Conclusion

A placement requirement becomes useful when the datum, feature and method agree. Validate that the inspection can support the decision, then use the same reference through production and shipment. This gives both buyer and factory a fair basis for evaluating the actual printed part.
